V. JOB SPECIFICATIONS:

The Philippine Department of Tourism Los Angeles Office is in need of a reputable event management company/organizer for the launching of the “Bisita Be My Guest” (BBMGY) program in Los Angeles, California and Las Vegas, Nevada on April 22 or 23, 2023.

The “Bisita, Be My Guest” program launch aims to involve the active participation of Filipinos to promote the country. The advertising campaign encourages OFWS and Filipinos living abroad to promote travelling to the country so the former can benefit from the advantages and help enhance life by being able to generate travellers’ interest on a larger scale. The campaign will run from January 2023 to April 2024.

In view of this, PDOT LA requires the services of a project organizer/event management company for the following components:

Philippine Travel Fair, Atbp. – Los Angeles

  • Secure location for a travel fair either an events place, hotel or a restaurant in Los Angeles
    • Tables/ booths for participating tour operators and vendors selling products and food
    • Three (3) breakout rooms at the venue for B2B meetings and presentations
    • Dedicated staff support
    • Entertainment
    • BBMG backdrops/banners
    • Production of giveaways for consumers/public

Media Press Conference – Los Angeles only

  • Function room for 30 media invitees
    • AV equipment
    • Registration table with staff
    • Dedicated staff support
    • Giveaways for media invitees
    • BBMG banners and backdrop

Launching Event (Los Angeles) – Dinner Reception

  • Function room for 250 invitees
    • Dinner Buffet or plated menu for 250 pax
    • Stage
    • AV equipment – microphones, sound system, speaker, large LED screen
    • Emcee and entertainers
    • Registration table with staff
    • Dedicated staff for the event
    • BBMG banners and backdrop
    • Giveaways for all event attendees

Launching Event (Las Vegas) – Dinner Reception

  • Function room for 60 invitees
    • Dinner Buffet or plated menu for 60 pax
    • AV equipment – microphones, sound system, speaker, large screen, projector
    • Emcee and entertainers
    • Registration table with staff
    • Dedicated staff for the event
    • BBMG banners and backdrop
    • Giveaways for all event attendees

Hybrid event with San Francisco and Honolulu

  • Hosted dinner with presentation (to be coordinated with the PDOT SF and PCG Honolulu)
    • Giveaways for event attendees

Other Requirements

  • Inclusion of one (1) week logistical/ ground handling arrangements

VI. ELIGIBILITY QUALIFICATIONS

The company must be in the business for at least 10 years and has a reputation in the business for staging and organizing quality production shows and events.

VII.  OTHER REQUIREMENTS

Bidders are required to submit detailed breakdown of its cost component for the project in accordance with the needs and requirements of the end user. Deadline for submission of bids is February 28, 2023.
